Abstract
Simplicity and usability of an ISO 9000 documentation system is the theme of 12 recommendations. First, create the quality manual only after all other documents have been prepared. Second, a concise quality policy need be only one paragraph or one page long. It should lead to about six quality initiatives over the next 12-18 months. Third, include only documentation that is needed. Fourth, prefer work instructions to procedures. Fifth, in a procedure, first describe the process, then the purpose, scope, responsibilities, and authorities. Sixth, describe processes as they are rather than as they might be. Seventh, write in a style that is simple and appeals to a wide audience. Eight, consider graphical documentation, such as charts and diagrams. Ninth, do not refer to other documents from within a procedure. Tenth, avoid writing definitions into a procedure. Eleventh, encourage participation by making it simple to revise processes. Twelfth, increase readability with a lot a white space. Use only a few concepts per page or section.
