Introduction

The American Society for Quality, Inc., ASQ South Asia, ASQ Latin America, and ASQ Excellence Inc. (together, “ASQ,” “we,” “us,” or “our”), is strongly committed to protecting the privacy of its members, customers and visitors. ASQ owns and operates asq.org, careers.asq.org, videos.asq.org, my.asq.org, asq.org.in, and asqlatam.org, along with our mobile software applications, ASQ-Excellence Through Quality and ASQ Learning (collectively, the “Site”). We have developed the Site to provide you with information about our organization, quality resources, products, and services.

This privacy policy (“Policy”) describes what information ASQ will collect from visitors and purchasers such as yourself, and how we will use that information once it’s collected. This Policy does not apply to websites or practices of any ASQ member, Section, Division, or Chapter, or any affiliate not named in this Policy. It does not apply to websites or practices of any organizations, groups, third party, affiliate, or business partner that ASQ does not own or control. 

We may modify this Policy at any time in our discretion. Material changes will be conspicuously posted on the Site, described in an email to you, posted at the top of this Policy or otherwise communicated to you. All changes will be effective immediately upon posting to the Site.

1. What Is Personal Information

For purposes of this Privacy Policy, “Personal Information” or “Personal Data” means information that alone or in combination with other information identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household. Personal Information does not include publicly available information or aggregated information that does not include personal identifiers.

2. Categories Of Personal Information We Collect

Through operating the Site, providing our programming and services, and interacting with you, we may collect the following kinds of Personal Information:

  • Identifying Information. Such as first and last name, birth year, mailing address, Internet Protocol Address (“IP Address”), email address, your digital signature, telephone number, your employer’s name, your job function, and industries you work in.

  • Membership Account Information. Such as your membership type, the industry you work in, your job title and employer, the Forums or Divisions of ASQ you are member of and which publications you receive. If you choose to participate in our volunteer and mentorship programs, you may choose to provide information about your interests as relevant to participation in the program.

  • Commercial Information. Information you send when you submit an online webform on the Site, or when you communicate with us via email or phone.

  • Payment Information. We will request your payment information when you make a purchase on the Site. We use a third-party payment service provider to collect your payment information when you make a purchase. Our service provider will save an encrypted copy of your payment details for our financial records. You may choose to save your payment information as part of your account, but we do not save a payment card CVV. You will need enter the CVV every time you make a purchase.

  • Internet Activity. Such as your browsing history and search history; the website visited before arriving at the Site, which parts of the Site you visit and how long you spend there, keystrokes, mouse clicks and scrolls, electronic device identifier, general geolocation information based on your IP address, operating system version and other information about your device, browser type and version; browser language, media access control (MAC), or cookie information.

  • Food Allergies. If you choose to take an ASQ exam or participate in one of our in-person trainings or events, we may collect information about your food preferences and allergies.

  • Employment Information. Information you submit when you apply for an open position with us or with businesses and organizations that list open positions on our career portal, including information about your current employment, your employment history, your contact information, and any resume or cover letter you choose to upload. If you apply to be listed in our ASQConnEx Directory, you may choose to list your employment experience. If you choose to take an ASQ exam, we will ask you to share your employment information.

  • Education Information. If you choose to be listed in our ASQConnEx Directory, you may choose to share your education history and credentials. You may choose to provide your education in your resume that you upload when applying for a position on our Careers web portal. If you choose to take an ASQ exam, we will ask you to share your education information.

  • Certification Information. When you choose to become certified through our certification programs, we will keep a record of your certification that is connected to your membership account.

  • Sensitive Information: Accommodations. When you sign up to take one of our certification exams, or attend an ASQ training or conference, you may choose to request an accommodation for a qualifying mental or physical condition through a Documentation of Disability Form. The Form requires the exam candidate to indicate the type of accommodation sought and requires the candidate’s physician to document the candidate’s qualifying disability. This information will be saved to your ASQ account, and you may update it when you register for an exam or in-person event in the future.

3. Sources Of the Information We Collect

We may collect Personal Information (A) directly from you, (B) through automated means when you visit the Site, and (C) from service providers and third party business partners that collect your Personal Information on our behalf.

A.  Information We Collect from You

We may collect certain Personal Information from you directly when you use the Site, sign up for a certification exam, attend a training or an event, or otherwise interact with us:

  • Online Account. We collect Personal Information from you when you create an ASQ account on the Site. We require you to create an account or log into an existing account in order to sign up for a training or event, download written materials, watch certain ASQTV videos and other media, join a local ASQ Chapter, to access training materials, or to purchase any of our resources. When you create an account, we will ask you to provide the following information: name, email, company, title, industry, address, and phone number.

  • Mentorship and Other Programs. We collect Personal Information from you when you sign up for our mentorship program, our volunteer program, and other programming we offer through the Site.

  • Communicate With Us. We collect Personal Information when you submit information through an online form, or when you contact us via email, mail, phone, or our live chat service.

  • Feedback and Surveys. From time to time, we may request that you send us feedback on our Site, the training and programming we offer, or other products and services we make available to you. We may also send you occasional research surveys about your career or industry.

  • Make a Purchase. When you make a purchase on our Site, we will request your payment information, shipping information, and contact information in order to complete the transaction.

  • To Receive ASQ Publications. When you subscribe to our newsletters, promotional emails, and other publications we offer, we will collect your email address and keep a record of your subscriptions. If you choose to download an online article, you will need to create or log into your ASQ account.

  • Join a Forum, Division, or Community. You have the option to join local ASQ Chapters. When you join a Chapter, we will keep a record of your local Chapter membership that is connected to your ASQ account. You may also post in community chats and comments and create blog posts.

  • Enroll in an Online Training or Event. When you choose to attend a training, we will ask you to create an ASQ account if you do not already have one.

  • Enroll in Sweepstakes or Other Promotions. From time to time, ASQ may offer promotions or sweepstakes. If you choose to take part in a promotion or sweepstake, we may collect your name, email, and phone number.

  • Attend a Live Event or Training. If you would like to register for one of our in-person trainings or events, we will require you to create an ASQ account if you do not already have one. Depending on the event, we may ask you for your meal preferences and allergies and if you would like to request a mental or physical accommodation.

  • Certification. When you register for an ASQ certification exam, we will require you to create or log into your ASQ account if you do not have one. We will also ask you about any accommodations you would like to obtain for a physical or mental disability.

B.  Information We Collect from You Automatically

We use technology to automatically collect certain Personal Information when you visit our Site. For example, if you click on a referring link, we may collect information such as the websites you visit before or after you visit the Site. We may also collect information about pages you navigate to on the Site and how much time you spend there, your IP address, general location information derived from your IP address, keyboard activity, mouse clicks and scrolls, search requests, browser type, operating system, and information about the device you use to access the Site. Most of the information we collect automatically does not contain Personal Information, except for your IP address. We do not use this information to identify or contact individual users.

  • Account Activity. We may collect data about how you use (i) your online account, and (ii) the Site when you are logged into your account. If you use the Site while signed into your membership account, we will collect information on how you use your account and the Site. For example, we collect information about the publications you subscribe to or Divisions you join.
     
  • Cookies & Other Tracking Technologies. We use cookies, web beacons, pixel tags and other tracking technologies (collectively “Cookies”) when you use our Site. To learn more about how we use Cookies and your options to limit the data collected from our Site, see our Cookie Policy.

C.  Information We Collect through Service Providers or from Third-Party Partners

  • Payment Processor
    When you make a purchase on our Site, your payment information is collected by our PCI-compliant, third-party payment processor, Fonteva. After processing your payment information, Fonteva will save the last four digits of your payment card. You may choose to save your payment information to your account where Fonteva will store an encrypted copy of your full credit card number and other payment details. We do not store CVVs.   • Live Chat Service Provider
    We use the services of Ring Central to provide you with streamlined customer service. As part of providing services to us, Ring Central may create a transcript of your online chat. Ring Central only uses your Personal Information as instructed to provide services to us, but we encourage you to not include Sensitive Information in the chat.   • Quincy AI Assistant
    Quincy is ASQ’s generative artificial intelligence (“AI”) assistant powered by Betty. Betty is BettyBot LLC’s computer application that uses artificial intelligence to simulate and process human conversation, which allows Betty users to interact with digital devices as if they were communicating with a real person.

    Quincy is trained on select ASQ-owned knowledge content found in journals, magazines, and books, ASQ’s governance content, general website content, and certain certification content. Upon receiving a query from an ASQ-registered user or member about ASQ’s content, Quincy will generate a summary of relevant information to facilitate easier learning and comprehension of ASQ’s content. If you choose to use Quincy, BettyBot LLC may collect information about how you use Quincy and your communications with Quincy, along with your IP address. Betty will use aggregated data, or data that does not include personal identifiers, to train its algorithm.   • Job Applications
    We use the web hosting services of Web Scribble to provide our Career Center at careers.asq.org. This is a service we offer to companies that wish to post jobs on our Site. When you choose to apply for a specific job posting, Web Scribble may request your name, email address, resume, and your communication preferences and may redirect you to the job posting on the hiring company’s website. If you submit a job application for one of those openings on the Career Center, that data will go to Web Scribble and the company that has posted the position. ASQ has access to resumes, cover letters, email, phone numbers, and addresses submitted in job applications using the Career Center. We encourage you to review Web Scribble’s Privacy Policy

    If you wish to apply for an open position with ASQ, you will be redirected to our Careers web portal. We use UltiPro, provided by UKG, to collect and process job applications for our job postings. When applying for an opening with us, UKG will ask you to create a UltiPro account (if you do not already have one). Job applications submitted through UltiPro, including your resume and all other materials and information you provide in the course of submitting job applications, will be submitted directly to UltiPro and will then be shared with ASQ.     You may use your LinkedIn account to apply for an open position with ASQ by providing your LinkedIn login information when prompted. If you choose to use this single sign-on feature, UKG may access, handle, and store any content or other information that you have provided through LinkedIn. We do not and cannot control any policies or terms of any third party, including LinkedIn. All information you provide to LinkedIn is subject to LinkedIn’s Privacy Policy.
     
  • Newsletter and Email Service Providers
    We use third-party service providers to manage and provide our subscriptions to you. Our email and newsletter service providers help us send emails, manage subscribe/unsubscribe features, and improve the effectiveness of our emailing services. Emails you receive from us may contain a unique link to a transparent image, which is loaded when the email is opened. We track the requests to download this hosted image. When you click on a hyperlink in the email, the unique redirect URL will reach our tracking service in addition to sending you to your target destination. We use this information to improve our subscription services and content.
     
  • Media Hosting Service Providers. We use the services of Worker Bee TV to create and host video content for ASQ TV found at videos.asq.org. To learn more about Worker Bee TV’s information practices, visit their Privacy Policy.

  • Training Service Providers . You may also sign up for ASQ training through one of our third-party training partners, or your own employer may sign you up for ASQ training. We may also use independent contractors to conduct the training and third parties to provide a venue for in-person trainings. These partners may share your Personal Information with us, which will be stored in our database (hosted by our cloud service provider).

    ASQ uses Docebo, Learning Library, and MoreStream, our e-learning service providers, to deliver and administer trainings and other e-learning programs through the Site and through the ASQ Learning mobile app. These platforms may utilize tracking technologies such as cookies to collect and analyze user data.   • ASQ Mobile Applications
    We use the services of Docebo to host and operate the ASQ Learning App, and Clowder’s services to host and operate the ASQ-Excellence Through Quality App. Docebo and Clowder may analyze user data automatically collected through these Apps.   • Red Flag Reporting
    We use the Red Flag platform to allow ASQ members and program participants to report behavior that may violate our code of conduct and other policies. A Red Flag report will ask for information about the person whom the report is about including their name, contact information, background information, and information about the reportable event, in addition to the name and contact information of the person making the report.
     
  • Certification Testing Providers

    We engaged Prometric, a third-party testing service, to offer in-person paper-based, computer-based, and remote testing options. The Site will direct you to Prometric’s website to schedule a certification exam.

    When you apply to take an exam, Prometric may collect and share with ASQE the following pieces of Personal Information: your name and contact information, your employment and education history, reference information (including the names, addresses, phone numbers, and employer of your references), verification of completed works relating to the certification application process, and other similar information about you.

    ASQ may also collect certain Sensitive Information pertaining to disabilities to which you provide ASQE when you request assistance pursuant to the American with Disabilities Act ("ADA"). ASQE will save this Sensitive Information to your account so that you may update your request for an accommodation in the future.

    When you have completed your exam, Prometric will share your name, exam number, address, email, phone number, test confirmation number, your exam start and end dates, any ADA code, and your exam results with us.

  • Web and Digital Analytics and Advertising Partners
    We may use third parties or service providers to help us understand the Site’s demographics and user preferences, to provide targeted advertising, and to evaluate the Site’s functionality. To learn more, please see our Cookie Policy.
     

4. Purposes For Collecting Your Personal Information

We may collect your Personal Information for the following purposes. For some of the purposes listed below, ASQ may not be able to communicate with you, or provide you with your requested product or service, such as scheduling an exam, training, or other event, if all the Personal Information necessary to provide the product, service, or communication is not collected.

  • To Communicate with You. To provide you with customer service, such as responding to your requests and inquires through email, calls, or our live chat services and to provide you with the newsletters and other subscriptions. If you enter a promotion or sweepstake, we may use your information to contact you about these programs.

  • To Create and Maintain Your Membership Account. Such as processing your membership request, maintaining your account login information, securing your account, and managing your participation in ASQ programming that is connected to your account.

  • To Complete Your Purchase or Return. To help you place orders and make purchases, to process, fulfill and ship your orders, to process payments, to communicate with you about your purchase or return request, and to process your returns or exchanges in accordance with our policies.

  • To Provide You with the Exams, Events, Trainings, and Other Services You Request. We collect the minimum amount of information needed to provide you with the services and materials you request or programs you wish to participate in. We may collect Sensitive Information if you submit a request for an accommodation while taking an exam or attending an in-person training or event. Such Sensitive Information will only be used to provide the accommodation and allow you to update the accommodation request in the future.

  • To Confirm and Record Your Certifications and Trainings. We collect your Personal Information in order to keep track of your ASQ certifications and trainings and make those records available to you in your account.

  • To Manage the Site. To secure the Site, to troubleshoot issues with the Site, to improve the Site’s design and content, to measure the success of our advertisements, to personalize your experience on the Site, and to understand user demographics.

To serve targeted advertising to you about products we believe may be of interest to you, to enhance our marketing capabilities, to notify you of new products and programs, to send you promotions, offers, discounts, and other electronic communications regarding our products, to customize content and to improve our ability to contact you, to inform marketing and communication plans and strategies, and to enter you in sweepstakes or contests and to communicate with you regarding those entries.

  • To Conduct Research. We collect Personal Information to assess trends in certain industries in the quality assurance services industry. We aggregate this information and share our findings in reports, graphs, and other resources found on the Site.

  • To Comply with Our Compliance and Legal Obligations. To respond to valid subpoenas, court orders and other legal processes, to comply with our regulatory and compliance obligations, and to comply with a requirement to retain data pursuant to a litigation hold.

  • 5. Purposes For Disclosing Your Personal Information

    Below, we explain (a) the purposes for which we may disclose your Personal Information and (b) the entities with whom we disclose your Personal Information:

    • Employees. We disclose your Personal Information with those employees who need to have access to that information to provide customer service, to schedule and work with you on research, feedback, and surveys, to provide you with your requested products and services, and to operate our business. Our IT team may also have access to your Personal Information to the extent required to provide security services that are designed to protect your Personal Information.

    • Affiliates and Subsidiaries. We may share your Personal Information with our affiliates and subsidiaries who have a need to know the information for our business purposes.

    • Service Providers and Third Parties. We may disclose Personal Information with service providers that provide services to us. In some cases, the service provider will directly collect the Personal Information on our behalf as part of the services they provide to us.

      We’ve provided some examples of when we may disclose information with our service providers or instruct our service providers to collect information on our behalf. This is an illustrative list and is not exhaustive of all of instances in which we may disclose Personal Information to our service providers:
      • Our live chat provider may collect transcripts of your chat conversation. Our site management service providers may collect Personal Information of Site visitors in the process of hosting the Site.
      • If you are part of a local ASQ Division, we may offer the Division assistance and support through our service providers.
      • When you make a purchase, we may share purchase or shipping information with our shipping service and order fulfillment providers to fulfill and provide your orders. We share Personal Information with our training partners, trainers, and/or the venue hosting one of our events.
      • We may store the Personal Information we collect from you in one or more data bases hosted by third parties located in the United States. These third parties do not use or have access to your Personal Information except for providing cloud storage and retrieval services to us.

    • Event Sponsors. If you attend one of our in-person events, you may have the opportunity to opt in to receive marketing from our event sponsors and exhibitors by allowing them to scan your attendee badge at the event.

    • Marketing and Advertising Partners. We may use the services of our third party marketing and advertising partners to serve you with marketing and advertising for our products and services we believe may be of interest to you. More information about the advertising and analytics services we use are included in our Cookie Policy.

    • Government and Law Enforcement. We will cooperate with law enforcement and other governmental agencies, and may disclose Personal Information: (i) if we believe in good faith we are legally required to disclose that Personal Information, (ii) if we are advised to disclose Personal Information by our legal counsel, or (iii) when necessary to identify, contact or bring a legal action against someone who may cause or be causing harm to, or interfering with the legal rights of, ASQ or any other person or entity.

    • Professional Advisors. We may share Personal Information with our professional advisors, such as our attorneys, accountants, financial advisors and business advisors.

    • Parties to a Business Transaction. We may disclose Personal Information in connection with certain business transactions, such as the purchase, sale, merger, rental, combination or any other type of business acquisition, transfer, disposition and securitization of financing as well as in connection with any bankruptcy or similar insolvency proceeding, including as part of any related due diligence process, where the Personal Information is transferred as an asset of the transaction.

    • Other Users. We make members’ Personal Information available on the Site for certain purposes. If you do not wish for your Personal Information to be listed for these purposes, you may opt out through your membership account preferences.
      • Our Certification Registry allows organizations and employers to verify individuals’ ASQ exam certifications. When an individual completes an exam, their information will be listed on the Certification Registry, unless they opt out. The Certification Registry lists the member’s name, city, state, and country, the credential(s) obtained, and the date earned, and whether the member’s certification is active or inactive.
      • Our ASQConnEx Directory allows businesses and organizations to find qualified professionals who meet their needs. ASQConnEx lists a professional’s name, education, certifications, and trainings completed, industries, languages, travel preferences, current trainings, awards, when the professional became an ASQ member, and a short biography of the professional’s relevant experience and aptitudes.
      • By default, ASQ members are included in the Membership Directory unless they opt out. The Membership Directory allows members to find and connect with other members. When members sign up to participate in our volunteer or mentorship programs their Personal Information will be made available to other members participating in those programs.
      • When you sign up for a live event, you may opt in to be listed in an event attendee list, which is shared with event sponsors, event exhibitors, and other attendees.

    6. De-Identified / Aggregated Data

    We may aggregate or de-identify Personal Information we collect through our Site and when operating our business. Aggregated data describes users as a group but does not reveal the identity of individual users. For example, we may aggregate Personal Information to calculate the percentage of users in a particular zip code who visit the Site. Once information or data has been de-identified and/or aggregated, such information is no longer Personal Information.  We will not re-identify that Personal Information and other information once aggregated.

    7. Public Information

    You may choose to post or share public information that may reveal your identity on the Site through comments, blog posts, directory posts, contributing to our magazine, newsletter or other publications. Because such materials are available to our members or the general public in some instances, any information you submit through these mediums is not Personal Information.

    8. Children's Data

    The Site is not directed at children under 18 years of age. We do not knowingly collect, use, share or sell Personal Information from children under 18. If a parent or legal guardian learns that their child provided us with Personal Information without his or her consent, please contact us and we will make commercially reasonable attempts to delete such Personal Information.

    9. Data Security

    The security of your Personal Information is important to us. ASQ uses physical, technical and organizational measures, appropriate to the nature of the Personal Information it maintains, to protect such Personal Information against unauthorized access or acquisition consistent with our obligations under applicable data protection laws. If a breach of your Personal Information occurs, we will notify you of the breach as required under applicable law.

    For instance, we protect Personal Information using physical protections, access controls, firewalls, multi-factor authentication, and end-point monitoring. We also maintain written policies and procedures to safeguard Personal Information. We also have a written incident response plan designed to allow us to quickly respond to any data security incident.

    We review our security practices on a regular basis to confirm we continue to maintain adequate levels of data security. While we strive to protect Personal Information, no security safeguards are 100% secure, and we cannot guarantee the security of your Personal Information.

    10. Access To Personal Information Outside Your Country; Data Transfers

    ASQ is based in the United States. If you access the Site from outside the United States, please be aware that your Personal Information may be transferred to, stored in, and processed in the United States. We may transfer your Personal Information to the United States in connection with the operation of our business. To assist us in meeting our operational and legal obligations, we may also transfer or make your Personal Information accessible to one of our service providers in the United States or throughout the world.

    When we transfer your Personal Information outside of your jurisdiction or process your activity on the Site, your Personal Information may be available to government officials in the United States or other countries. Certain governmental authorities may not consider the level of protection of Personal Information in the United States or in various countries to be equivalent to that required by the in their jurisdictions. For example, the EEA and the UK have determined that the United States and certain other countries do not have an adequate level of protection for Personal Information.

    However, ASQ ensures an adequate level of protection for Personal Information that it receives from these jurisdictions by compliance with an approved transfer mechanism(s), such as executing Standard Contractual Clauses and conducting data transfer risk assessments where required by applicable law.

    11. Retention Of Personal Information

    12. Data Governance

    Protecting Personal Information is an obligation for all ASQ employees. All ASQ employees are required to participate in annual privacy and security training. Our Chief Executive Officer has authorized the ASQ Director of Technology to serve as the ASQ Data Protection Officer and operate our privacy program. Our privacy and security responsibilities are also cross-functional to protect information concerning our members, employees, and business partners. For instance, senior members of the IT and Marketing teams work with legal counsel to help comply with applicable data protection laws and to protect Personal Information we collect. We enter into data protection agreements and conduct data privacy risk assessments when required by applicable law.

    13. Third-Party Websites and Social Media

    A. Third-Party Websites

    The Site may link to, or be linked to, websites not owned or controlled by ASQ. ASQ is not responsible for the privacy policies or practices of any third parties or any third-party websites. This Policy does not apply to any third-party websites or to any Personal Information that you may provide to third parties. You should read the privacy policy for each website that you visit. 

    B. Social Media

    ASQ participates in Social Media platforms such as Facebook, X, LinkedIn, or Instagram ("Social Media") that enable online sharing and collaboration among customers. The Site may allow you to connect to and share information with several of these Social Media platforms. These features may require us to implement Cookies, plug-ins, and Application Programming Interface (APIs) provided by those Social Media platforms to facilitate those communications and features.

    Your posts on Social Media are public information and will not be treated confidentially. We may post (or re-post) on the Site and our Social Media pages any comments or content that you post on our Social Media pages. Your use of Social Media is governed by the privacy policies and terms of the third parties that own and operate those websites and not by this Policy.
