EMail Barrage
Posted: Nov 20, 2009 7:55 AM

I received no fewer than SEVEN emails from ASQ yesterday (Nov 19). That is way too many. My Section, (509 Washington DC/Metro Maryland) has received complaints about the number emails our members are receiving, and we have changed some of our methods to reduce the number of emails and still get the information out to our membership. A day with seven emails results in members just deleting ASQ messages, and therefor actually impedes communication. The Society has got to do a better jobs of coordinating communications.

I did not recieve that many but then again I have checked the following box on my membership profile.

Occasionally ASQ shares its mailing list with carefully selected quality-related organizations to provide you with information on products and services. Please check this box if you wish not to receive these mailings. This is a free service that you may cancel at any time by visiting the My Account area of www.asq.org.

I wish that would help, but these were not from "carefully selected quality-related organizations" there were ALL from ASQ. They were all even sent through the same address - listmanager@asq-email.org. Also, having just verified, I have had the block checked. I believe this is referring to snail mail in any case, because just below your quote is this sentence:

"ASQ does not share your e-mail address with other organizations."

Hi Mr. Withnell,

My name is Anita and I am responsible for email traffic at ASQ. As soon as I saw your post, I checked out possible reasons for you to have received so many emails in one day. I discovered that you had a duplicate record with the same email address, so you were receiving more than double the emails. I have adjusted your email preferences and merged the duplicate record into your membership record, and this will reduce the number of emails we send you. Please accept my sincere apology for the inconvenience you experienced. If you have further questions or concerns, please feel free to contact me.

Anita,

Thank you for your action on this matter. I am impressed that you were able to resolve this so quickly. Someone must have given you a heads up on this problem. Whoever that was, thank you also!

Am I the only one that is concerned here that it sounds like we have corrected this for one person and we have not looked for the root cause and how many members could have duplicate records?

Hi Geoff,

Thanks for letting ASQ know about the e-mails that you received. Anita found the anomaly with your records and corrected the issue. We have many audit steps in our processes that assure these instances remain at a minimum.

Also, because we are clearly in an electronic age and more communications are going out via e-mail, ASQ is working hard to balance the value of those communications with the quantity sent out. This is a big system to manage, as you noted about your sections, because one entity does not hold all of the communications. We have many people continuing to work on the issue.

Your feedback is helpful and critical. Specific data (e-mail titles, dates, sent from, etc) also helps, too. Different members will receive different amounts of e-mail based on both their involvement and their preferences. We're looking for the best way to streamline both, and the data helps to point us in the right direction.

Again, I appreciate your feedback. It's helps us get to the root cause and effects so that we can continue to improve.

Thanks,
Jen Czajka

Thanks for giving this such prompt attention. I'm glad that this board is in fact being monitored.

My second to Geoff remarks. Sounds like you are talking the Quality talk. I can tell you as a 40+ year member of the Society that many members believe that ASQ HQ is obvious to remarks and suggestions made here and elsewhere.

Please allow me to reverse this problem.

I have not received any emails from ASQ-HQ in months (years?). I receive them from section and from section board members, but almost never receive anything from ASQ-HQ.

I am forced to wonder 'am I missing out on something?' Did all ASQ members get a free trip to Bermuda and I didn't get the email? Did John go twice? :)

Seriously, when the root cause is investigated you may want to add this as a symptom.

Tom - before looking at the ASQ end you might want to see if ASQ has your correct e-mail address or has been placed on a spam list either for your account or Yahoo e-mail. It has amazed me sometimes how mail like that goes through for months and then suddenly gets flagged as spam because your ISP has tweaked their criteria or your e-mail reader hits some kind of limit.

Tom,
The fact that you are receiving emails from your section leads me to believe that ASQ has your correct address. Milwaukee puts out a file with the current info for all its members to each section monthly. Sections normally do not themselves update member info, since it would just be overwritten by Milwaukee the next month. So in most cases, what the section uses is whatever was on the latest update from Milwaukee. Since you are receiving email from the section, that must be correct. I would second Richard's suggestion to check your spam settings, and also check your profile settings on the asq.org site.

Anita has already addressed Tom's issue with him offline - this was corrected last week.
